Planning a big event and need to find the perfect venue to make it happen? We’ve been there.

After over a decade of organizing corporate gatherings, special celebrations, or and team building experiences and finding venues to fit it, we know how hard (and critical!) it can be to choose the right spot. You have to consider the location and size of the venue, evaluate its past experiences and pricing and make sure it fits your party’s needs.

How do you ensure to ask the right questions and not miss anything? Get yourself a checklist. Lucky for you, we have a template you can work off of. Here’s the 5-point checklist that Jessie Welsh, VP of Events and Operations, uses every time.

Your 5-Point Event Checklist

1) Location, Location, Location

The location of the venue is one of the most important things to consider when looking for an event space. Does it have easy access to public transportation or nearby parking? Is it close enough that everyone will be able to get there easily? Consider how far people have to travel and if they'll be able to do so comfortably. 

2) Size Matter

Make sure the venue you choose has enough space for everyone attending your event. Will there be seating or standing room only? Will there be enough room for everyone's comfort? If you need more than just a space, check out what else the venue offers. Does it provide tables and chairs, sound equipment, lighting options, etc.? Make sure the space meets all your needs and accommodates all of your guests before making a commitment.  

3) Experience Is Key 

When choosing a venue for your event, look into their past experiences with similar events. Have they hosted events like yours in the past? Ask about their success rate with those events and what sets them apart from other venues in terms of customer service and satisfaction. Make sure you get all the details so that you know what kind of experience this particular venue can provide for your special event.  

4) Price Points

Last but not least – money! Get quotes from several different venues and compare them side by side to see which one best fits within your budget while still providing quality services. Be sure to read through any contracts carefully as some venues may include extra charges or fees that weren’t mentioned at first glance. Also ask about discounts or promotions they might offer during certain times of year or if you plan on having regular events with them over time.  

5) Time To Decide

Once you've gathered all the information necessary, it's time to make a decision! Choose a venue that meets all your criteria – location, size, experience, price point – and make sure it will provide an enjoyable experience for both yourself and your guests at reasonable cost without sacrificing quality services or amenities.
